IRS 75% rule (first & last day)

On trips of 2+ days away from base, many crew use 75% of the full daily M&IE rate on the first and last calendar days of the trip. Middle days use 100%. This tool applies that convention to GSA totals unless you change settings in advanced mode.

GSA vs contract pay

Contract per diem is what your airline pays under your CBA—it is not the same as the federal GSA M&IE allowance used for tax planning. Comparing both helps you see pay vs a common worksheet approach; this is not tax or payroll advice.

Multi-city layovers

For trips with several layover cities, each calendar day is assigned to the city you were in (departure day counts at the layover you left). Enable multiple cities in advanced options or import a schedule.

Per diem calculator for pilots & flight attendants

Airline crew per diem usually means two different things: what your company pays under your contract, and what you may reference from GSA meals & incidental expenses (M&IE) rates for layover cities when building a tax-year worksheet. PerDiemCalculator lets you log trips, run both numbers side by side, and keep a free trip history with calendar view and exports—built for regional and mainline pilots, cabin crew, and other airline employees who travel away from base.

Add a trip with your away-from-base dates and layover airport (search 8,800+ codes). Tap Add trip to log once to calculate GSA M&IE (when rates are synced), optional contract totals, and save to your browser log. Upload a roster CSV, paste schedule lines, or use AI import on Netlify when configured.

Frequently asked questions

Is this a free per diem calculator for pilots and flight attendants?

Yes. The airline crew calculator is free: add trips to a browser-based log, compare contract per diem to GSA M&IE, upload schedules, and export CSV or print/PDF reports with no paywall.

What is the difference between contract per diem and GSA M&IE?

Contract per diem is what your airline pays under your collective bargaining agreement or employer policy. GSA M&IE is the federal meals and incidental expenses rate many crew use on tax worksheets—it is not your paycheck.

Does the calculator use the 75% rule for the first and last day?

For multi-day trips, GSA-style calculations often apply 75% of the daily M&IE on the first and last calendar day away from base. Our crew tool follows that convention for qualifying itineraries; confirm with your tax preparer.

Can I track multi-city layovers?

Yes. Enable multiple layover cities in advanced options or import a schedule. Each calendar day is assigned to the city you were in, including departure days at the layover you left.

How many airports are supported?

Over 8,800 airports from OurAirports are searchable by code or city name, with GSA locality matching for U.S. layovers when rates are synced to our database.

Is my trip data stored in the cloud?

Trips are saved in your browser local storage unless you clear site data. No account is required. This is a guest-mode trip log, not an employer payroll system.
